About Smart Office System
Smart Office is an enterprise office software system for secure and efficient work across multiple devices. The system provides zero trust security services, such as virus scanning and vulnerability detection, to reduce the risk of data leaks during remote work. A cloud based knowledge base supports semantic retrieval of company documents and fast keyword searches. The model context protocol connects the intelligent assistant with meetings, email and task tools, so applications can be called using natural language. Time spent on document handling is reduced.
Within the evolving landscape of digital workplace solutions, this interface design system represents a thoughtful approach to the challenge of maintaining coherent user experience across fundamentally different device formats and interaction paradigms, where the designer appears to have prioritized consistency of visual language while respecting the distinct affordances of each platform, the work demonstrates sophisticated understanding of contemporary design system methodology through its systematic application of color coding, where cerulean blue consistently signals primary actions and connectivity status, coral indicates notifications requiring attention, and verdant green confirms successful operations, creating an intuitive visual grammar that transcends individual screens, the compositional presentation itself functions as a form of design argumentation, with the deliberate arrangement of three devices establishing clear relationships between mobile, tablet, and desktop experiences while the shared white background unifies these distinct contexts into a cohesive family, technically the interface achieves notable refinement through its calibrated use of shadow depth to establish hierarchy, with primary cards casting subtle drop shadows that separate them from the background while maintaining the light, accessible feeling appropriate to productivity software, the iconographic system demonstrates consistent geometric construction principles, with each application symbol built from similar visual weights and proportional relationships that ensure recognition at varying scales, thematically the work engages with contemporary questions about digital workspace fragmentation and the cognitive load imposed by switching between disparate interfaces, proposing instead a unified environment where tools maintain their identity across contexts, the shield motif prominently featured on the desktop display suggests consideration of enterprise security concerns while its crystalline, almost jewel-like rendering transforms a potentially anxiety-inducing subject into something visually reassuring, one might observe how the inclusion of human-centric elements such as meeting schedules and email communications grounds the technological subject matter in recognizable daily activities, viewers may find themselves considering how such systematic approaches to interface design might influence their own relationships with workplace technology
Press Kit
- Unique Properties
- Rotect core data and enhance efficiency. Aone's zero-trust services provide virus scanning and vulnerability detection, effectively preventing data leaks during remote work. Meanwhile, the cloud-based knowledge base leverages "Xirang" computing power to achieve 1-second keyword searches, enabling rapid knowledge management. Additionally, MCP technology integrates office applications into the MCP Server, supporting natural-language invocation to reduce operational time.
- Dimensions & Packaging
- The system is built on an independently developed aone client.

- Production Technology
- The system establishes end-to-end encrypted tunnel links using cdn node resources, strictly verifies terminal environments, and regularly checks terminal software security via virus scanning. The aone office intelligent assistant aids in plan writing, ppt outline generation, and building enterprise/personal knowledge bases, enabling semantic retrieval of enterprise documents and precise answer delivery. Additionally, aone intelligent office services adopt the model context protocol (mcp) to connect ai with various office tools, breaking data silos through a unified interface, intelligently linking modules like meetings, emails and to-do lists, and comprehensively enhancing office efficiency and security.
- Design Challenge
- The project's biggest challenge was enabling enterprise employees to work more efficiently in a secure office environment. To address this, we developed a 3d intelligent architecture of security intelligence and connectivity": using ai to drive security responses and large models to analyze user behavior logs, identify anomalies, and trigger emergency strategies; building an intelligent knowledge base supporting multimodal knowledge integration (documents, data, images) for intelligent retrieval, permission management, and semantic understanding/generation of unstructured data; and using mcp technology to connect various office services, achieving a "what you say is what you get" intelligent office experience.
- Project Duration
- It was launched in China in January 2022 and will continue.
- Operation Flow
- In terms of security functions, when a security risk is detected, the system will automatically feedback relevant risk attack information through the security module on the homepage based on background rules. users can directly handle the risks according to the guidance or manually trigger a global system risk scan. meanwhile, non-technical personnel can use ai-driven tools . By inputting natural language, the ai will quickly provide relevant answers. In addition, relevant application services can be quickly invoked through the intelligent assistant, significantly improving office efficiency.
- Research
- Through industry surveys and user interviews, we have gained in-depth insights into the needs and pain points of enterprise employees. The surveys have revealed the daily pain points in corporate office operations. Our research has found that employees face inefficiencies in office scenarios such as enterprise information retrieval, office collaboration, cross-platform application access, and daily document usage. Additionally, employees are exposed to complex internet access environments every day, which can easily lead to corporate data security issues.
- Inspiration
- Enterprises face multiple challenges in office efficiency, with widespread issues including decentralized cross-departmental data, low efficiency of traditional retrieval methods, employees spending substantial time on document processing and cross-system information retrieval, escalating risks in asset management and control, and potential data leakage hazards in API calls and cross-border access. Therefore, China Telecom's Tianyi Cloud has launched Intelligent aone cffice to reshape enterprise productivity.
